Rental Terms

All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines important terms, conditions, insurance coverage, fees, and your obligations related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.

Eligibility Criteria

Renting a vehicle requires:

• To hire a vehicle in Malvern, drivers must be at least 21 years old, though age limits may differ based on the type of vehicle. Those under 25 may incur extra charges. A valid driving licence appropriate for the vehicle category is required, along with valid identification and proof of address. Payment information and a security deposit must be provided. Additional criteria may also be outlined in the Rental Agreement.

3. Reservations and Payments

• Reservations can be made via our website, by phone, or directly at our Malvern office. A deposit may be necessary to confirm your booking. The full payment and a security deposit are usually required upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT where applicable. We accept major credit and debit cards, processed securely through trusted payment systems.

4. Car Pick-Up and Drop-Off

• At the time of vehicle collection, it is important to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be prepared and signed to document these findings. When returning the vehicle, it should be in the same condition as when it was collected, taking into account normal wear and tear. Any new damage will be evaluated and charges may apply accordingly. The vehicle must be returned with the same fuel level as at pickup; refueling fees will be incurred if it is returned with less fuel. Late returns may attract additional fees, so please inform us as soon as possible if you expect to return the vehicle late. You will be responsible for any parking fines, traffic violations, or other charges that arise during the rental period, along with an administrative fee.

5. Coverage and Responsibility

• All rentals include basic third-party insurance. You can find full coverage information and excess amounts outlined in the Rental Agreement. Additional insurance options may be available to help lower your financial responsibility. It is important to review these options thoroughly. You will be liable for any damage or loss up to the insurance excess amount unless you have opted for additional coverage. Damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance.

6. Modifications and Cancellations

Cancellation and amendment policies differ based on the type of booking and the notice period provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.

7. Restricted Activities

Prohibited uses of the vehicle:

• Use of the vehicle for any unlawful activities is strictly prohibited. This includes racing, rallying, off-roading, or engaging in any activities that pose significant risks. Transporting hazardous materials or substances is not permitted. Sub-letting the vehicle or allowing unauthorized individuals to drive is also forbidden. Driving under the influence of alcohol or drugs, exceeding designated passenger or weight limits, and operating the vehicle outside of agreed geographical boundaries without prior consent is not allowed.

Breach of these terms may lead to rental termination and fees.

Liability Limitations

To the fullest extent allowed under English and Welsh law, Car Hire Malvern will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profit, data, or business resulting from your use of our services. Our total liability for any claim is limited to the amount paid for the rental in the previous 12 months. This limitation does not apply to liability for death or personal injury resulting from negligence or fraud.

These Terms adhere to the laws of England and Wales. Any disputes will be resolved within the jurisdiction of the relevant courts in this region.

10. Updates to Terms

We reserve the right to update these Terms at any time. Changes take effect immediately upon publication on our website. Continued use of our services indicates your acceptance of the revised Terms.
